Tips For Holding A Special Event At A Hotel

Posted on

Whether you're holding a special event in town or in another state, you can't go wrong with a hotel venue. No matter what size celebration you're having, from an intimate birthday to a large wedding reception, you can find a hotel to hold it in.

Hotel event space ranges from small conference rooms to large ballrooms, and everything in between. If you need extra room, you may be able to reserve adjoining rooms as well. Some hotels even include outdoor space, such as the grounds or a patio area, in the rental price.

You can hold almost any type of special event in a hotel event space, including kids' and adults' birthday soirees, family and corporate holiday parties, bridal and baby showers, anniversary and graduation celebrations, class and family reunions, and even weddings. If you're choosing a popular hotel at a busy time of year, such as the holiday season, book the venue as far in advance as possible.

The following are some additional tips for holding a special event in a hotel.

Book Room Blocks

If you're holding your event out of town, such as at a beach location, or if you're expecting a lot of out-of-town guests, consider reserving a block of hotel rooms. Doing this will save your friends and loved one's time and possibly even money, as you can get generally a discount on multiple room rentals.

Booking rooms at the same hotel as the event space will also be convenient for traveling guests, as they can simply walk down the hall to the celebration. They'll also be able to mix and mingle before and after the party. If you hosting a wedding reception at the hotel venue, the bridal party can conveniently get ready in their own rooms and will have a place to change clothing as needed.

Ask About Catering Options

Another way you can save time and money by booking a hotel event space is with catering. If the property offers on-site catering, you may be able to get food services included in a package price. Hotel catering options include everything from food and beverage service, to elegant, full-course dinners. You may even want to choose a specific hotel due to the onsite restaurant.

When booking the event space, ask if dessert is included in the catering fee. In some cases, you might have to hire an outside caterer, especially if you need a wedding cake or a large birthday cake.
